Position Description: |
- Prepares routine, repetitive, basic correspondence (e.g. lists, address labels, letters, memos, forms); performs basic word processing functions according to specific and detailed instructions provided by various higher-level employees; and files correspondence, reports, records or other materials and / or enter data to update routine computer files.
- Schedules court hearings for attorneys and for paralegal for Administrative Support and Administrative Paternity hearings; operates computer merge lists for Administrative Paternity and Support hearings; operates computer to produce a variety of documents and correspondence for the legal division staff attorneys (e.g. modification entries, emancipation entries, judgment entries, ex parte orders, letters of transmittal, summons and subpoenas etc.); assists the legal division in the preparations of cases and all appropriate internal parties.
- Provides additional clerical support as needed according to specific detailed instruction as provided by higher-level employees; answers and directs telephone calls from clients or other agency members; operates, maintains and makes minor repairs to office equipment; schedules appointments, meetings, hearings and interviews as directed.
- Distributes (e.g. faxes/mail/e-mail) documents and ensures timely distribution of legal material to appropriate parties; enters all relevant case-specific information and or actions on the appropriate State Enforcement Tracking System (SETS) screens; assists in maintaining attorney’s calendars and the Case Referral List (CRL) database and completes related paperwork; receives, screens and verifies information submitted to legal division; compiles information to prepare and maintain statistics on various programs and services for legal division.
- Sends and receives outgoing and incoming mail for agency; delivers and retrieves documentation to / from courthouse as necessary; files, copies, distributes, collates and retrieves records and documents; maintains and / or updates records and files; scans all appropriate legal files into document imaging system; confers with and / or forwards information to appropriate personnel according to established procedures.
- Remains informed of current development and procedures pertinent to duties; may be required to attend seminars / training.

Job Prerequisites: |
Minimum Qualifications: High School graduate or GED. Ability to add and subtract. Ability to read and interpret legal documents. Ability to write routine correspondence. Experience in typing or keyboarding. Additional Qualifications (Agency/Dept. Qualifications): Skills in organizing and following directions. Ability to listen. |
